We are assisting an awesome Construction Company with hiring an Administrative Assistant!

Job Summary:

The Administrative Assistant will provide exceptional service to customers, employees, vendors, and sub-contractors as the “first point of contact” in the office area, over the phone, and in face to face interactions. Provide ongoing support in various areas including office support, customer service, inventory management, calendaring, travel arrangements and a variety of other duties as assigned.

Job Duties & Responsibilities

• Assistant to President and Operations Manager with tasks as needed

• Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival

• Communicate with and update President on business operations

• Note keeping during meetings and coordination of annual company meetings

• Maintain and coordinate company and personal calendar of activities

• Project coordination with team, customers, vendors, and sub-contractors

• Assist in marketing efforts

• Back up of other duties such as collections, inventory purchasing, care maintenance schedules, housekeeping, coffee, filing, and other duties as assigned

Skills and Qualifications

• Extremely well organized, able to plan and execute plans, and have exceptional attention to detail

• Professional and ethical, able to maintain confidential information

• Excellent written and oral communication skills

• Strong and consistent customer service abilities over the phone and in person

• Advanced knowledge of MS Office (Word, Excel, and Outlook or other email management system)

• Overall knowledge related to the storage of documents on the cloud

• Must be able to take initiative and problem solve

• Use judgment effectively and ensure each task is completed according to company standards and in a manner that does not create unnecessary waste or expense

• Demonstrate ability to perform tasks as requested and capable of working independently and with a team

• Continue to evolve and grow with the position as duties increase and are modified as the company grows

• Ability to act in accordance with company policies and procedures and promote the core values of the Company at all times

• Clean-cut professional with an ability to represent the Company in a manner that demonstrates integrity and customer confidence

• Able to sit and work at a computer for extended periods of time

• Read and understand manuals and/or instructions related to the job

Education and Experience

• Associates Degree or equivalent experience
Three years of experience in a support role is preferred

Schedule: 20 hrs./week (Flexible during business hours)

Pay: $15 - $20 per hour, depending on experience.
