Position Overview: The Scheduling Operations Specialist is a crucial part of our traffic control firm, ensuring seamless operations by effectively scheduling and coordinating daily fieldwork and service calls. This position requires someone who thrives in a dynamic environment, and can work independently, but is also an integral team player. The Scheduling Operations Specialist will play a vital role in managing customer relations, supporting field crews, and ensuring accurate and timely work order completion.
Key Responsibilities: Daily Scheduling: ○ Create and adjust daily crew schedules, ensuring that all client jobs are staffed appropriately. ○ Coordinate with field supervisors and crew members to ensure all projects are covered, and last-minute changes are addressed. ○ Monitor field crews throughout the day using dispatch and scheduling software (e.g., TCR). ○ Prepare schedules for the following day, taking into account client needs and job requirements. Customer and Team Communication: ○ Serve as a point of contact for both internal teams and clients, handling any inbound customer service calls related to job status, scheduling, or service issues. ○ Maintain strong working relationships with clients by ensuring their needs are met promptly and effectively. ○ Communicate any schedule changes to the team and clients, ensuring transparency and customer satisfaction. Operations Support: ○ Validate and review completed work tickets for accuracy and billing purposes. ○ Assist with payroll validation, PTO requests, and maintaining personnel records for field employees. ○ Monitor and report inventory levels for field operations, coordinating any necessary repairs or replacements for equipment. ○ Ensure accurate data entry into the company’s software systems, including work orders, customer jobs, and billing corrections. Process Improvement & Special Projects: ○ Collaborate on special projects aimed at improving scheduling efficiency, resource allocation, and overall operational processes. ○ Provide input to enhance customer satisfaction and employee scheduling flexibility. Qualifications: ● 1-3 years of experience in scheduling, operations coordination, or a related administrative role. ● Excellent organizational skills with a keen eye for detail and accuracy. ● Strong communication skills, both written and verbal, with a customer service-oriented mindset. ● Ability to manage multiple tasks efficiently and adapt quickly to changing priorities. ● Experience using scheduling, dispatch, and record-keeping software (e.g., TCR or similar). ● Proficient with Microsoft Office Suite, especially Excel and Word. ● Knowledge of geographical mapping tools and basic route planning. ● Demonstrated ability to work independently while managing time effectively. ● Ability to problem-solve and think critically, especially in a fast-paced environment. Preferred Skills: ● Experience in the traffic control, construction, or utility industries is a plus. ● Knowledge of local wage and hour laws and field workforce management. ● High degree of professionalism, energy, and a positive attitude. Work Schedule: ● Monday to Friday with flexibility for early morning or late afternoon shifts to accommodate crew schedules. ● Occasional weekend or after-hours work may be required depending on client needs and project deadlines.
